CANDIDATE PROFILE

Latino Network seeks a bilingual, mission-driven, community service-minded individual with bi-cultural proficiency to provide coordination and support to the Educational Access Programs Department. The ideal candidate will have high attention to detail, experience in logistics, planning, Google Suites, data entry, administrative project coordination, and strong interpersonal skills.POSITION DESCRIPTION

The Program Support Specialist is responsible for supporting the overall goals and objectives of the Latino Network by providing administrative support to the Educational Access Program team. They should promote the organization’s vision and mission. This role is significant in Educational Access Program operations,specifically with new hire onboarding and administrative and project coordination.

RESPONSIBILITIES

The Program Support Specialist assists the department to ensure smooth andeffective day-to-day operations by performing the following duties:

  • Maintains the Department’s calendar of meetings and events and provides administrative support to the Department of Educational Access Programs leadership team.
  • Develops and maintains budget tracking system for direct service staff.
  • Oversees supply orders for the department.
  • Plans and schedules meetings, reserves conference rooms, attends meeting when appropriate, and takes meeting minutes.
  • Prepares and maintains records and files.
  • Performs accurate and efficient data entry tasks, including entering, updating, and verifying data in a timely manner. Ensure data integrity and confidentiality while maintaining high attention to detail. Utilize software systems and tools to input and manage data effectively.
  • Collaborates with team members to meet deadlines and achieve project goals.
  • Drafts and promotes marketing material for programs.
  • Assists with onboarding and offboarding department staff.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Manages projects and other duties as assigned by the supervisor.
  • Establish standardized processes and procedures for common tasks to ensure consistency and reduce errors.
  • Maintains punctual, regular, and predictable attendance.
  • Respectfully takes direction from the supervisor.
  • Other duties as assigned
Requirements

REQUIRED SKILLS/KNOWLEDGE/ABILITIES

  • English and Spanish Bilingual proficiency is required, as is the ability to translate general communications and converse with staff regarding the scope of work, either in a 1-1 setting or in a group/ presentation.
  • The combination of education and training in relation to past experience with Education, Communication, Sociology, and Cultural Studies from inside and outside the United States is considered equally. Transferable skills and lived experience will also be considered.
  • Relevant experience in program support, administration, or related roles.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to maintain discretion with regard to confidential matters and maintain confidential records.
  • Demonstrates ability to work independently and manage time while prioritizing tasks to meet key organizational deadlines.
  • Ability to be flexible and adaptive to successfully achieve the functions of the position as described in the job responsibilities.
  • Takes initiative and maintains proactive communication.
  • Strong attention to detail, organizational, and interpersonal skills.
  • Employee service mindset, resourceful, outcomes-oriented, and able to build
  • strong relationships.
  • Knowledge of inventory control principles and methods.

This position requires frequent computer use. Specific vision abilities required by this job include close vision, color vision, distance vision, depth perception, and ability to adjust focus. The noise level in the work environment is usually moderate.
