Administrative & Social Media Assistant (Part-Time)

Location: Portland, Oregon, with occasional travel to Hood River and the Columbia River Gorge
Position Type: Part-Time Independent Contractor (Ongoing)
Hours: Approximately 10–15 hours per week
Compensation: Competitive hourly rate, dependent on experience. Mileage reimbursement consistent with the federal rate.

About Hearth & Home Midwifery
Hearth & Home Midwifery is a community-based home birth practice serving families throughout Portland and the Columbia River Gorge. We are committed to providing compassionate, evidence-informed, relationship-centered care that honors each family’s unique journey through pregnancy, birth, and postpartum.
We are seeking a highly organized, dependable Administrative & Social Media Assistant to support the daily operations of our growing practice. This role is ideal for someone who enjoys creating efficient systems, communicating with clients in a warm and professional manner, and helping tell the story of our practice through thoughtful social media content.
Most work can be completed remotely; however, occasional in-person work at our Portland office and local errands throughout the Portland metro area and Columbia River Gorge are required.
Position Responsibilities
Administrative responsibilities include but are not limited to:
Ordering ultrasounds, labs, and other coordinated care
Assisting with client onboarding and administrative paperwork
Creating and maintaining organized digital files and practice documents
Running occasional local errands
Coordinating birth tub cleaning, drop off, and pick up
Completing superbills and communicating with a third party biller
Uploading lab results
Fax and email management
Tracking and ordering office supplies
Completing medical records requests and coordinating records for Hearth & Home clients
Tracking, ordering, and organizing medications
Organizing and distributing postpartum folders for clients
Tracking CEUs and peer reviews for the midwives
Filing birth certificates and social security requests for newborns
Filing MANA stats data in an online database
Assisting with special projects as needed
Social media responsibilities include:
Creating scheduled content for Instagram, TikTok, YouTube, and Facebook under the direction of the social media manager
Designing simple graphics using Canva
Assisting with uploads and editing
Writing engaging captions and content consistent with the practice’s voice
Helping implement a consistent social media strategy and content calendar
Required Qualifications
At least two years of experience in an administrative assistant, office administration, or similar role
Experience managing social media accounts for a business or organization OR personal brand with significant follower base
Excellent written and verbal communication skills
Strong organizational skills and attention to detail
Ability to work independently and manage multiple priorities
Professional, dependable, and proactive work style
Valid driver’s license and reliable transportation for occasional local travel
Preferred Qualifications
Experience working in a medical office, healthcare setting, or wellness practice
Familiarity with midwifery, home birth, and maternal health
Experience electronic record systems
Photography, video editing, or content creation experience
Desired Technical Skills
Experience with some or all of the following:
Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
Canva
TikTok
Instagram
Facebook
YouTube

Schedule
This position averages 10–15 hours per week with a flexible schedule. Some tasks require responsiveness during regular business hours, while many responsibilities can be completed independently. Occasional in-person meetings, office work, and local errands are expected.
