About PHAME: 

PHAME is a fine and performing arts academy serving adults with intellectual and developmental disabilities (I/DD). Serving 200+ individuals per year through art classes, workshops, and a robust performance program, PHAME empowers students to learn new  skills, take artistic risks, and build lasting relationships with people who share their  experience of having a disability. 

Established in 1984, PHAME is Portland’s longest-standing arts nonprofit serving adults with I/DD. As a mid-sized organization, our small but mighty team includes eight—and  soon to be ten—core staff and 20+ teaching artists. We are a tight-knit, collaborative group where every voice is valued.

Position Overview: 

  • Job Title: Development Coordinator 
  • Job Type: Part-time/ Non-exempt; 22.5 hours per week 
  • Job Location: This is an in-person position that takes place in the PHAME office in  Southeast Portland. Occasional remote work is possible with supervisor approval, however the role is expected to be worked primarily in person.  
  • Salary: $26/hour  
  • Reports to: Associate Director of Philanthropy 
  • Benefits Include:  
  • Vacation: This position accrues four weeks of vacation time (accrued at the  rate of 12 hours per month). Vacation increases to 4.5 weeks after four years  of service, and to 4.8 weeks after six years. 
  • Holiday pay: PHAME observes 11 annual holidays; employee will be paid for  regularly scheduled hours that fall on those holidays.  
  • This position also receives two floating holidays to use on days of their  choosing. 
  • Work schedule:  
  • Tuesdays, Wednesdays, and Thursdays, 9 AM – 5 PM (30-minute unpaid  lunch) 
  • This position regularly works 22.5 hours per week. Some additional hours  may be assigned during gala season (February/March) and for other events.
  • Occasional evening and weekend hours required. 

Job Summary: 

The Development Coordinator supports PHAME’s fundraising and donor engagement  efforts through database management, gift processing, donor stewardship, event support,  and administrative coordination. Serving as the primary steward of the organization’s donor database (Neon CRM), this position ensures the accuracy, integrity, and usability of donor  information while generating reports and insights to inform fundraising strategy. The Development Coordinator processes gifts, tracks pledges, and coordinates timely donor  acknowledgments, helping to foster strong and meaningful relationships with supporters. 

In addition, the Development Coordinator contributes to the successful execution of fundraising events throughout the year, providing logistical, ticketing, and customer service support. This role also handles a variety of administrative tasks and assists with day-to-day  office needs. The ideal candidate is highly organized, detail-oriented, and proactive, with a  strong commitment to collaboration and a belief in the power of the arts to cultivate  thriving a community.  

Essential Job Functions: 

Data Coordination & Gift Acknowledgment (50%) 

  • Build and maintain expertise in the donor database (Neon CRM) through training  and selfdirected inquiry, becoming the organization’s goto resource for data  integrity and reporting 
  • Ensure proper use of donor database system structure (campaigns, sources, etc) and produce accurate, insightful reports 
  • Maintain the donor database with accurate data entry, thoughtful deduping, clear reporting, and wellorganized lists 
  • Support donor stewardship efforts through frequent and accurate gift data entry and weekly gratitude letters 
  • Prepare, send, and track invoices for pledges 
  • Provide occasional customer service support for donors 
  • Execute data cleanup projects 

Event Support (30%) 

  • Manage all aspects of event ticketing for ticketed events (such as Gala, Fall Fundraiser, Winter Variety Show, Get PHAMEous, and Summer Show). This includes building and maintaining ticketing platforms (Greater Giving and Neon), monitoring  sales and registration data, providing customer support, generating reports, 

importing and exporting donor data, and supporting tickets sales and/or check in at  the event. 

  • Support the administration and execution of events including Gala, Fall Fundraiser,  Winter Concert, and smaller fundraising events 
  • Invoice sponsors and collect their information and logos 
  • Collect guest demographic information via surveys at major performance events  and compile data for use in grant writing and reporting 

Administrative & Miscellaneous Support (20%) 

  • Provide mailing support for appeals and event invitations 
  • Maintain PHAME listings on websites like GuideStar, Charity Navigator, etc
  •  Support Associate Director of Philanthropy and the Executive Director with occasional administrative tasks; other administrative duties as assigned
  • Coordinate ordering of food and beverages for meetings, lunches, and office events, ensuring timely delivery and adherence to budget guidelines 
  • Manage ordering of branded materials (e.g., letterhead, envelopes), maintaining  appropriate inventory levels 
  • Support PHAME merchandise sales and inventory tracking 
  • Retrieve the mail from PHAME’s PO Box 1-2 times per week 
  • Attend development meetings, as well as occasional event and staff meetings  

Required Skills/Qualifications 

Required 

  • At least one year of relevant experience 
  • Ability to recognize priorities, take initiative, and follow tasks through to completion Sound judgment in navigating professional interactions, with sensitivity to tone and context across different audiences 
  • Strong, selfdirected work ethic and eagerness to learn new skills through research and practice 
  • Dependable and attentive listener with a strong commitment to following through  on responsibilities 
  • Willingness to grow and develop new skills with support from a collaborative team Excellent organizational skills and attention to detail 
  • Experience working as part of a team 
  • Reliable transportation to travel between PHAME’s office in SE Portland and PO Box in NE Portland (mileage is reimbursable) 
  • Commitment to the belief that art is for everyone

Preferred but not required 

  • 2–3 years of relevant experience 
  • Experience using Neon CRM, Greater Giving, or other donor management programs
  • Experience working in the arts and/or with people with intellectual and  developmental disabilities 

Requirements for All Positions:  

  • Ability to manage time effectively to meet deadlines. 
  • Ability to work independently, take initiative, and be proactive. 
  • Proficiency in office software and tools, MS Office Suite, and Zoom, among others.
  • Flexibility to work outside of regular office hours when necessary. 
  • Ability to work in our SE Portland office. 
  • Strong attention to detail. 
  • Full fluency in English is required.

Working Conditions & Physical/Cognitive  Requirements: 

  • This position requires advanced decision-making capabilities and the ability to effectively plan, execute, and assess a variety of projects and initiatives.
  • Work is primarily conducted in an office setting and on our campus, with occasional off-site meetings and events. The role is predominantly sedentary and involves prolonged periods of computer use. 
  • The position also requires occasional physical activity, including mobility within the office. 
  • For event work, this role may require travel to various venues, standing for extended  periods, lifting event materials weighing up to 40 lbs (example: a case of wine), and moving between event areas. We are committed to accessibility and can make  reasonable accommodations for candidates with mobility needs. 
  • This is an in-person position. Occasional remote work may be possible with  supervisor approval.  
  • The PHAME office and campus are fully ADA accessible.  

Wellness Policy 

PHAME’s community includes people with medical conditions that can make them very sick if they catch an illness. Therefore, PHAME requires staff and students to stay home if they are sick. Masks are always welcome at PHAME. If there is a sudden increase in sickness in our community, we may institute a temporary mask requirement. While PHAME  does not require proof of vaccination for Covid or other easily transmittable diseases, we strongly suggest that staff and students be vaccinated.
